POSITION INFO:
The Information Services Coordinator provides operational, financial, and administrative coordination supporting IS leadership and department execution. This role manages budget tracking, vendor coordination, reporting, asset visibility, communications, and leadership support activities while improving transparency and efficiency across IS operations.
RESPONSIBILITIES:
Financial & Vendor Coordination
• Support telecom, infrastructure, software, and services charge-back tracking.
• Validate vendor invoices, code and submit invoices to Accounts Payable, coordinate corrections, and assist with contract tracking and renewals.
• Monitor departmental spending and support monthly budget tracking and variance reporting.
• Partner with Finance to ensure timely invoice processing and reconciliation.
Operational Support & Reporting
• Maintain tracking for budgets, assets, inventories, and operational metrics.
• Support lifecycle visibility for hardware, software licenses, and subscriptions.
• Prepare dashboards, reporting materials, and governance documentation supporting audit readiness and leadership decision-making.
Leadership & Department Support
• Coordinate leadership schedules, meetings, travel logistics, and communications.
• Support IS team-building activities and department meeting logistics and event details, including catering, materials preparation, room setup, and vendor coordination as needed.
• Prepare presentations, executive reporting materials, newsletters, and departmental updates.
• Maintain organized documentation repositories and serve as coordination point between IS teams, vendors, and business stakeholders.
Process Improvement & Administrative Excellence
• Identify opportunities to streamline administrative workflows and reporting processes.
• Maintain high accuracy across financial tracking, documentation, and operational support activities.
• Support continuous improvement initiatives across IS administrative operations.
EXPERIENCE:
• 3+ years administrative, operations coordination, finance support, or IT department support experience preferred.
• Experience supporting technical teams and working with vendor invoices, budgets, or asset tracking systems desirable.
EDUCATION:
• High school diploma required; Associate’s degree in Business Administration, Information Systems, Finance, or related field preferred.
TRAINING AND SKILLS:
• Strong organization, prioritization, and attention to detail.
• Excellent written and verbal communication skills.
• Advanced Microsoft Office proficiency (Excel, Word, Outlook, PowerPoint).
• Ability to manage multiple priorities and maintain confidentiality.
• Analytical thinking and cross-functional collaboration capability.

PHYSICAL DEMANDS / ENVIRONMENTAL FACTORS:
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
